The employee in this position will have the following essential job functions:
Provide administrative support to the Dual Enrollment coordinator by: (1) responding to inquiries regarding available courses, registration, and basic dual enrollment information, (2) distributing dual enrollment packet information from the DE google drive per request of DE coordinator, and (3) sending reminders regarding final grades and new course schedules.
Provide administrative support to the Seminary Track coordinator by: (1) assisting with admissions paperwork, (2) updating and safeguarding enrollment and testing information, (3) assisting with the credit-by-examination process, and (4) serving as a liaison between students, faculty, and participating offices.
Communicate with Boyce faculty regarding schedule changes, meetings, and other important information such as Boyce and Seminary Faculty Meetings, Boyce Preview Days, Prospective Student Lunches, Text Requisition deadlines, and Personnel Packet deadlines.
Initiate the collection of adjunct faculty information, prepare and distribute PAFs and Personnel Packets, monitoring receipt and submission of packet materials to Academic Administration according to submission deadlines.
Prepare materials for faculty workshops, faculty meetings, and other special events.
Compose and distribute Boyce Faculty Meeting agenda and meeting minutes.
Distribute and collect student and faculty course evaluations.
Make onboarding arrangements for new Boyce faculty members.
Keep up-to-date contact information for all Boyce faculty and staff.
Collect Boyce grader information from faculty each term, aid graders in completing necessary employment paperwork, assist faculty in granting Academic Assistant access to Moodle, and prepare and distribute PAFs.
Work closely with the Office of Admissions to coordinate and schedule prospective student meetings with Boyce faculty by sending them course schedules and academic and student life calendars as they become available.
Process expense reimbursements via Concur for Boyce faculty.
Assist the Associate Deans with special projects, as needed.
Process all Dean’s scholarship requests and handle all written and digital communications with scholarship applicants and recipients.
Maintain a complex digital file system by creating and updating records, spreadsheets, and other documents. • Assist in the purchasing and distribution of office supplies.
Answer and transfer all phone calls coming into the main Boyce College phone line (and other phone lines as needed).
Welcome and assist students and other visitors to the main office and Boyce faculty offices.
Maintain the general email account for Boyce College.
Regularly monitor and update the Boyce College website.
Ensure that the faculty lounge and reception area remains stocked and organized.
Place work orders and coordinate with other offices to keep facilities maintained.
Assist with other projects as may be assigned by the Executive Assistant to the Dean.
