The employee in this position will have the following essential job functions:

  • Coordinate monthly reconciliation of the Dean’s procurement card
  • Facilitate logistics of the hire, travel arrangements, and payment of adjunct professors and Garrett Fellows
  • Maintain travel reimbursements for the dean and associate dean through Concur
  • Work with department chairs on campus to organize the SOT course schedule with the dean
  • Maintain and update SOT website
  • Maintain records of SOT syllabi
  • Coordinate lectures for the dean
  • Create reports and maintain data for SOT Jenzabar database
  • Process Personnel Action Forms (PAFs) for SOT employees
  • Maintain personnel files for all SOT employees
  • Process check requests, expense reimbursement forms, data processing requests, cash reports, and copy center requests as necessary
  • Submit work orders for SOT
  • Coordinate annual SBHLA meeting
  • Maintain the dean’s calendar
  • Organize/oversee Shepherding Groups
  • Create 200+ welcome packets for incoming School of Theology students
  • Help coordinate Annual Report to Trustees
  • Prepare various reports for SOT
  • Coordinate SOT Faculty Meeting
  • Consult with dean and Executive Assistant to SVP on restricted and non-restricted accounts
  • Restock office supplies
  • Help coordinate office assignments and relocations
  • Answer telephone
  • Respond to email inquiries; prepare correspondence, manuscripts, sermons, reports, class materials, etc.
  • Work closely with other academic administrative assistants
  • Assist the dean in the supervision of SOT research assistants
  • Perform other duties as may be assigned by Dean and Executive Assistant to the SVP
