JOB FUNCTIONS

The employee in this position will have the following essential job functions:

  • Own planning, expectations, and scheduling for all client requests
  • Receive client requests and propose projects to assigned designers
  • Open jobs and create tasks needed for the project
  • Request accounting documentation during the initial part of the project
  • Encourage the creation of the Creative Brief at the beginning of each project.
  • Confirm that all members of the project understand their roles and assigned tasks, including clients
  • Communicates daily priorities with creative staff and makes sure work is completed on schedule.
  • Maintain a healthy, fluid, and efficient communication with clients through any means necessary
  • Anticipate needs based on the previous year’s project calendar and help clients make good decisions about project scoping, priorities and timing
  • Collaborate with Creative Director to plan year ahead as much as possible
  • Schedule projects with the support of the Traffic Coordinator (according to the client’s needs and capacity of the department)
  • Coach core clients in using project management software to enter jobs, monitor progress and submit approvals
  • Coordinates the production of institutional print pieces, packaging, marketing collateral, and other print pieces developed by the creative team.
  • Creates art adjustments, finalization, and pre-flight all files for all projects that go into print production
  • Identifies the best production technique, materials, process and vendor for any given project, requiring several vendor quotes in order to achieve the best price/quality ratio
  • Negotiates project terms between the institution and vendors (price, delivery time, discounts)
  • Ensure quality standards set by the creative director and/or VP of Communications for all production-related projects
  • Maintains up-to-date vendor related information on the department’s project management software
  • Follow assigned tasks, paying attention to quality, expenses and time management
  • Maintain a healthy and energized relationship with fellow team members
  • Contribute to the development of creative solutions for client needs
  • Close projects after completion, including collecting feedback on client satisfaction and billing if necessary
